
A cleaning checklist has been digitized and a question has been inserted that asks, “Has the dustbin within the manager’s office being cleaned?” in a yes / no question format. A prompt appears and asks, “Please take a picture of the managers dustbin after you have cleaned it.”
In setting up the cleaning checklist, the responsible manager stipulates the time of day that the checklist needs to be completed by and the individual person / employee role that is responsible for completing the checklist. This schedule is called the Gameplan and can be expanded to include all checklists and the days / weeks / months, times and responsible persons that need to complete them.
After the cleaning has been completed the employee simply opens her/her mobile phone and utilizes the FlowQC native app to complete the cleaning checklist. The employee answers the question “yes” and then takes a picture of the clean dustbin. The photograph is date and time stamped with the exact GPS coordinate recorded.
The completed checklist is immediately sent the responsible manager and the real time, online dashboard is updated.
FlowQC has a review function whereby the responsible manager can go online and confirm that the employee has completed the checklist correctly. Practically they confirm that the answer is to the standard of the SOP (“yes”) and they confirm that the evidence provided by the photograph is consistent with the answer i.e. that the dustbin is clean. If the employee had answered the question as “yes” but the photograph of the dustbin had shown a dirty dustbin then a disciplinary process can immediately take place.
FlowQC also has an audit function that can provide a double-check after the review has been conducted.
